What to say when you have forgotten their birthday

Say it in one line and then stop apologising. Something close to "I missed your birthday and I am sorry" does the whole job, and everything after it should be about them. The most common mistake is a long apology, because it quietly asks the person whose birthday you forgot to reassure you, which makes your mistake their task.

The second thing is worth knowing before you write anything: a late message frequently lands better than an on-time one. On the day itself they got a wall of notifications in four hours and read almost none of them properly. A week later, yours is the only one arriving, and it gets read completely. Below are twelve things to say, and the three to avoid.

1.One line of apology, then move on

I missed your birthday and I am sorry. That is the entire apology and it is enough. Three paragraphs of explanation turns the message into a document about you, and the reader ends up composing something kind back to make you feel better. Say it once, do not explain the reason, and spend the rest of the message on them.

2.Say the true thing you never say on the day

On an actual birthday everybody writes some version of hope you had a great day. Late gives you no reason to write that, which is a gift. Say the thing you would not have said in a queue of forty other messages: what they did for you in March, what you tell other people about them, why you would call them first. Lateness earns you a different register.

3.Do not make a joke about having forgotten

Every belated card in the drugstore does this, and every one of them is about the sender. Better late than never, oops, my memory is terrible. It reads as a request to be found charming rather than as a message to the person who noticed you were missing. If you want to be light, be light about them, not about your own failure.

4.Give it a proper subject line, not a text

A late message pinging into the same thread as everything else is easy to miss twice. An email, a card, a page, anything that arrives as its own object, signals that this took effort and was not fired off between meetings. The format is most of the apology, and it does more work than the wording.

5.Ask what they actually did, and mean it

Most birthday messages are broadcast and expect no reply. Yours can ask a real question, because the day has happened and there is something to report. What did you end up doing. Did your sister come. Was it any good. It turns a missed obligation into an actual conversation, which is more than the people who messaged on time managed.

6.If it has been months, say the number

Vagueness reads as embarrassment. I am four months late is disarming precisely because it is specific, and it lets both of you skip the part where you pretend it was nearly on time. Say the number, say the one line, then write the message you would have written. Nobody has ever been offended by accuracy here.

7.Do not send a gift as an apology

A gift that shows up as compensation reads as buying your way out, and it puts the other person in the position of having to say it was not necessary. If you were always going to give something, give it and say almost nothing about the timing. If you were not, a real message is worth more than a hurried purchase, and they can tell the difference.

8.Get other people into it, since you have time now

The one genuine advantage of being late is that you are no longer working to a deadline. Collecting messages from six people takes a week, which was impossible before their birthday and is entirely possible after it. Arriving late with something nobody could have made on the day is the best available version of this.

9.Name the year, not the day

You missed the date, so write about the year instead. What changed for them, what they got through, what you noticed. A birthday message about the day is generic by design; a message about the twelve months is only possible from somebody who was paying attention, and that is the thing being tested when you turn up late.

10.Do not promise to remember next year

It is the reflex ending and it is a hostage. You are asking to be judged again in twelve months on a promise you will probably break in the same way. Put the date in your phone quietly, right now, and say nothing about it. Being there next year is the apology. Announcing it in advance is just more of the message being about you.

11.If you are very late, celebrate something else

Past a certain point a belated birthday message is strange, and the better move is to stop pretending it is one. Take them out, mark the new job, call on an ordinary Tuesday. The point was never the calendar date, and a person who feels thought about in October does not audit whether it was filed under the right occasion.

12.Send it now, unfinished, rather than perfect later

The reason most missed birthdays turn into missed months is that the message keeps getting postponed until it can be good enough to make up for being late. It never gets good enough, and the debt grows. A short honest message today beats an excellent one you have been drafting since August, which is to say beats the one that never arrives.
